Risk & Hazard Management

With SimplsWHS Risk Assessments are easily created and synchronised to every resource that uses them. Hazards a re quickly identified and controlled.

  • Risk Assessments – SWMS, JSEAs, SRAs are easily created and synchronised to every resource that uses them.
  • Hazard Management – All on site personnel can report a hazard by mobile phone. The designated site WHS coordinated immediately receives notification of the hazard by SMS and email. Control measures are quickly and simply assigned and monitored.
  • SOPs – Safe Operating Procedures (SOPs) are created as documents then attached and linked to every resource using that SOP. Weather proof, QR coded labels can be printed directly from SimpleWHS and adhered to assets. Workers can scan the QR code to see the SOP for that asset.

Monitoring

Monitoring is essential to maintaining a good WHS system.

With Simple WHS there are a number of features available for ensuring that all processes are being complied with and are up to date.

Weather proof, QR coded labels can be printed directly from SimpleWHS and adhered to assets. Scanning the QR code will display the service and audit history, and/or SOP for that asset.

Areas that need to be monitored include;

The methods of monitoring WHS equipment and procedures include;

  • Audits – Every process and procedure within an organisation can be monitored by SimpleWHS’s audit system.
    • Create an unlimited number of templates and with the click of  a button they are ready to be used to audit virtually anything
    • Where an audit item fails the actions required to fix it can be assigned to a person and tracked until completion.
    • There is a digital sign off for the auditor carrying out each audit.
    • Weather proof, QR coded labels can be printed directly from SimpleWHS and adhered to assets or buildings. The QR code can be scanned to view the audit history of the asset.
  •  Drug Alcohol Testing – Drug and alcohol testing can be set up and all workers that are required to undergo the test can be notified by SMS and email via the notifications section.
    A worker must acknowledge he has received notification and if not reminders are sent to admin.
  • Certification – The certification section enables all the certifications required in an organisation to entered and each person who has that certification is attached.
    SimpleWHS will remind you when worker’s certifications are due for renewal.
  • Service Maintenance – Servicing of assets (plant, equipment and machinery) and locations (buildings etc.,) can be tracked and managed.
    Weather proof, QR coded labels can be printed directly from SimpleWHS and adhered to assets. Service/maintenance history can be viewed by scanning the QR code.
  • VOCs – Where a Verification of competency (VOC) is required by a worker carrying out a job these can be tracked and signed off by supervisors and workers.

Training

Custom training courses can be created and saved in many formats and made available for your people.

The training section can also contain links to outside training courses.

Training sessions can be set up and training attendance managed.
Workers or contractors required to undergo training can be notified via the Notifications section. They must sign when receiving notifications.

Exams can be created for any course and these can be made compulsory.

Each training course and each session of that course is linked to all workers attending and will show pass marks, comments and comments from the worker.

Consultation

Persons conducting a business or undertaking (PCBUs) have a legal duty to consult with workers on health and safety matters.

Consultation can be undertaken through a number of methods and these can be formal, such as committees and representatives or informal “chats”.

Whether formal or informal SimpleWHS manages and tracks issues and solutions identified through the consultation process.

  • Meetings – keep track of all toolbox, prestart, committee or general safety meetings, both informal and formal
  • Committees – when workers legal rights to a health and safety committees have been exercised and a committee and members exists you can manage the outcomes of those meetings
  • Health & Safety Representatives – manage Health & Safety representative, their requests and activities
  • Notifications – tracks and manages all safety notifications and assignments and instructions sent from the system to workers and contractors

Registers

Registers are lists of resources within your organisation.

SimpleWHS enables multiple registers.

Every resource on every register can be linked to an unlimited number of WHS issues.

Assets, Locations, Chemical and Jobs can have QR codes auto generated. When scanned with a smart phone they will display all relevant WHS info.

Emergency Planning

All you need to manage on-site emergencies an comply with legislative requirements for emergency control.

  • Emergency equipment – keep equipment in working condition through auditing

The administration section includes the immensely powerful but very simple Document/Attachment manager.

Here you can link and attach any digital file to any WHS issue or any resource.
There never needs to be lost or incomplete documentation, a very important consideration if ever there is an incident involving the courts or WHS inspectors.

Users are managed from here and users are given roles that filter what they can and can’t do.
